Messaging and History

The messaging feature enables all users of a box to exchange Lockbox messages and emails. The history feature keeps a record of all activity in a given box.

Lockbox Messages

Lockbox messages are broadcasts. This means that they are always sent to all users of a box.

Post message

To send a Lockbox message:

  1. In the box navigation pane, select the box to whose users you would like to send a Lockbox message.
  2. Above the toolbar, select the ‘Messaging’ tab.
  3. Click the ‘Post a message to users of this box’ button.
  4. Enter the message subject and the message text in the corresponding input fields of the input dialog.
  5. Press the ‘Send’ button to send the message.

The message is sent instantaneously to all users including the sender.

The existence of unread messages is indicated in the Lockbox client. Recipients find a number in brackets that is placed in the box navigation pane just in front of the box name to whose users the message was sent. The number reflects the number of unread messages, e.g. (2) stands for 2 unread messages.

Read message

To read a Lockbox message:

  1. In the box navigation pane, select the box whose Lockbox message you would like to read.
  2. Above the toolbar, select the ‘Messaging’ tab.
  3. In the message list, select the message you would like to read.
  4. After your selection, the message subject and body are displayed below the message list.

Unread messages are highlighted with blue font colour.

If an unread message is selected, the 'unread messages' indicator in front of the box name is decremented, e.g. from (2) to (1).

If all unread messages are read, the 'unread messages' indicator in front of the box name disappears.

Delete message

To delete a Lockbox message:

  1. In the box navigation pane, select the box whose Lockbox message you would like to delete.
  2. Above the toolbar, select the ‘Messaging’ tab.
  3. In the message list, select the message you would like to delete.
  4. Press 'Backspace' or 'Delete' on your keyboard after your selection.

Messages are deleted instantaneously. They can not be recovered afterwards.

Send email

Follow the below steps to send an email to all, or a selection of, users of a box.

  1. In the box navigation pane, select the box to whose users you would like to send an email.
  2. Above the toolbar, select the ‘Messaging’ tab.
  3. Click the ‘Send an email to users of this box’ button, an input dialog pops up.
  4. Enter the subject and the message text in the corresponding input fields.
  5. (optionally) if you want to send the email only to a selection of box users.
    • Un-tick the ‘Send email to all users in box’ radio button.
    • Select one or many entries in the email list below and press the ‘>’ button to add recipients to your email.
  6. Press the ‘Send’ button to send the email.

By default, an email is sent to all box users including the sender.

Emails are sent instantaneously. However, mail server settings and network conditions (outages, traffic, interruptions) along the send path may delay an email.

History

History

Box transactions, such as file uploads and downloads, are logged in Lockbox. The history provides you with an overview of any such transaction by any user in the form of a list. The history is for example helpful if you need to trace whether someone has accessed a new document or to find out who deleted a folder.

  1. In the box navigation pane, select the box in whose history you are interested.
  2. Above the toolbar, select the ‘History’ tab.
  3. Enter a start date and an end date to indicate which range of the history you are interested in.
  4. Click the ‘Search’ button, after which the list is populated with all records that fall in between start date and end date.

Lockbox recommends to set a small time range. In this way, the output is fast and you are not overwhelmed with a very long list of history entries.
