Manage Clients

Lockbox provides a solution for you to share information with people who require simple and fast access, such as business clients and customers. Simply create a client box, pass on username and passphrase and your clients are ready to go.

Clients do not require a Lockbox registration. Instead you create their credentials and pass them on to them.

Add Client

The box owner and administrative users can create an individual client box by following the below steps:

  1. In the box navigation pane, select the box for which you would like to add a client.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Manage Box’/'Administer Box' item.
  3. Select the ‘Clients’ tab and the 'Add Client' section.
  4. Enter a client id (that is unique within the parent box).
  5. Create an initial passphrase by either
    • Entering a passphrase in the input field
    • Pressing the ‘Generate’ button.
  6. Press the ‘Create Client’ button.
  7. A new client box is created. Client credentials are generated and uploaded to the Lockbox Server.

It is not possible to create a client whose client id duplicates an existing client id.

A client id may be an email address.

A client can change their passphrase after login.

The box owner and administrative users can import a set of clients from a .csv file and create individual client boxes for each new client using the following steps:

  1. in the box navigation pane, select the box for which you would like to add a client.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Manage Box’'Administer Box' item
  3. Select the ‘Clients' tab and the 'Import Clients’ section.
  4. Click the ‘Browse’ button to open a file browser window, navigate to the location of your .csv file, select it and press the ‘Open’ button to load the file.
  5. Press the ‘Next’ button to get to the next screen where you can define how the data from the .csv file is used to generate a unique user name for each client.
  6. Follow the instructions and change the settings until you are satisfied that your clients’ user names show up correctly.
  7. Press the ‘Finish’ button.
  8. Create an initial passphrase for all clients by entering a passphrase in the input field.
  9. Press the ‘Proceed’ button to confirm.
  10. New client boxes are created and corresponding client credentials are generated and uploaded to the Lockbox server.

The user is warned if there are client IDs that duplicate existing client IDs. One clients with non-conflicting names are created.

Add/Import Client Options

There are two options available for creating a new client box.

Enable notifications for client

If this option is selected, the client will receive email notifications for read and write actions performed in their client box.

Prompt client to change passphrase on first login

If this option is selected, the client is prompted to change their initial passphrase. Hence the client is forced to change the passphrase. They will not be able to continue without.

Reset Client Passphrase

The box owner and all invited users have the permission to reset the passphrases of all clients associated with the box. This is handy, for example when a client simply forgets their passphrase. To reset a client passphrase do the following:

  1. In the box navigation pane, navigate to the client box for which you want to reset the passphrase.
  2. Right-mouse click the box icon to open the box’s context menu and select ‘Reset client password’ item.
  3. Enter the new passphrase in the input dialog and press the ‘Proceed’ button to confirm.

The passphrase change takes effect immediately – make sure the client is not logged in. The client will be prompted to change the passphrase the next time they log in.

An alternative way to reset the client’s passphrase is to use the ‘reset’ function in the ‘manage existing clients’ section in the ‘manage’ window under the context menu of the parent box of the client.

Reset to Client Permit

Permits to decrypt/encrypt files may get out of sync over time. For the box owner and invited users this situation typically manifests in limited access to files that were uploaded by the client. Resetting to client permit resets the permissions for all client-uploaded files to the latest client credentials.

The box owner and all invited users have the permission to use the ‘reset to client permit’ function on any client associated with the box.

Use this feature, if you or the client cannot upload/download files to/from the client box. To reset to client permit do the following:

  1. In the box navigation pane, navigate to the client box for which you want to reset to client permit.
  2. Right-mouse click the box icon to open the box’s context menu and select ‘Reset to client permit’ item.
  3. Press the ‘Proceed’ button to confirm.

The permit change takes effect immediately – make sure the client is not logged in.

Refresh Client Credentials

The box owner has the permission to refresh the credentials of any client associated with the box. Refreshing the client credentials is stronger than resetting the passphrase only. It refreshes all certificates that make up the credentials and changes the client’s passphrase.

Use this feature only if a clients experiences difficulties to access their client box even though they use the correct passphrase or if some functionality does not behave as expected.

To refresh the client credentials do the following:

  1. In the box navigation pane, navigate to the client box of which you want to refresh the credentials.
  2. Right-mouse click the box icon to open the box’s context menu and select ‘Refresh client credentials’ item.
  3. Enter a new passphrase in the input dialog and press the ‘Proceed’ button to confirm.

The credential refresh takes effect immediately – make sure the client is not logged in. The client will be prompted to change the passphrase the next time they log in.

Delete Client

A client can be deleted by the box owner at any time.

  1. In the box navigation pane, select the box from which you would like to remove a client.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Manage Box’ item.
  3. Select the ‘Clients' tab and the 'Delete Clients’ section.
  4. Tick the checkbox next to the client you wish to delete and then click the ‘Delete Selected Client’ button.

Only the box owner can delete clients.

The client, including their associated client box, is removed from your box instantaneously.
