Email Notifications

You can configure Lockbox to send you notification emails about file and folder actions in a box. Here you can set up how you receive these notification e-mails.

Global Preferences screen

Normally Box settings are set at the Global Level so that they apply to every box.

  1. Go to the main menu and open the ‘Box’ menu. Then select the ‘Global Preferences’ item.
  2. In the ‘Notifications’ section, tick the ‘Send me notifications if enabled in box’ checkbox.
  3. Select either
    • The ‘By default, send me notifications for a box immediately’ radio button or
    • The ‘By default, send me notifications for a box grouped together’ radio button and specify a time interval in minutes in the corresponding input field.
  4. Press the ‘Apply’ button to confirm your settings.

Set box notifications locally

  1. In the box navigation pane, select the box for which you would like to change notification settings.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Manage Box'/'Administer Box'/'Box Settings’ item.
  3. Select the 'Preferences' tab and then the 'Box Notifications' section.
  4. Tick the ‘Notify me when changes or downloads occur in the box’ checkbox.
  5. Select either
    • The ‘Send me notifications for this box immediately’ radio button or
    • The ‘Send me notifications for this box grouped together’ radio button and specify a time interval in minutes in the corresponding input field.
  6. Press the ‘Apply’ button to confirm your settings.

Send notifications immediately

Notification emails are sent instantaneously after an event had occurred.

This option may result in a large number of emails sent to your account.

Send notifications grouped together

Collects all notifications that were received in the specified period of time and sends only one email.

Email Templates

Lockbox interacts on your behalf with other users via email, for example to establish contacts, to invite them to boxes or to send out notifications.

You can edit the templates for these emails in order to customise them to your requirements:

  1. Go to the main menu and open the ‘Box’ menu. Then select the ‘Global Preferences’ item.
  2. In the ‘Email templates’ section, click the ‘Select template’ combobox and select the template you would like to edit.
  3. Press the ‘Edit template’ button to open the template editor window.
  4. Make your changes and save them by pressing the ‘Okay’ button.

If you need box-specific email templates then select the particular box in the box navigation pane, open the context menu and select "Manage". Then continue from step 2 as above.

The easiest way to test your changes is to look at an auto-generated email. To do so, follow the below steps:

  1. Go to the main menu and open the ‘Box’ menu. Then select the ‘Global Preferences’ item.
  2. In the ‘Email templates’ section, click the ‘Select template’ combobox and select the template you would like to edit.
  3. Press the ‘Send me test email’ button.
  4. A message box pops up to confirm that a test email has been sent to your email address.

It is possible to taylor email templates to the specific requirements of the user or clients of a box.

  1. In the box navigation pane, select the box for which you would like to change notification settings.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Manage Box'/'Administer Box'/'Box Settings’ item.
  3. Select the 'Preferences' tab and then the 'Box Notifications' section.
  4. Use the tabs to navigate to the email template you would like to edit, then make your changes and save them by pressing the ‘Apply’ button.

As with the global preferences, you can verify your latest changes by pressing the 'Send Test Email' button.

Template placeholders

Email templates can be personalised by incorporating placeholders. A placeholder is marked up with a #-prefix and a #-suffix.  Placeholders are replaced with concrete user-specific information when an email is generated from the template.

The following placeholders are currently supported:       

  • The name of the box: #box#
  • The name of the event: #event#
  • The first name of the recipient: #first-name#
  • The last name of the recipient: #last-name#
  • The url of the Lockbox home page: #lockbox#
  • The name of the sender:  #name#
  • The lockbox registration URL: #reg#
  • The time of an event: #time#
