Box Operations

Lockbox workspaces, or "boxes" for short, are areas for securely sharing files. They are the containers that store the folders and files you want to share. The basic box operations enable you to create and delete boxes as well as a number of basic management operations.  

Navigate Boxes

You can navigate your boxes and their folders the same way you navigate drives and folders in the local file system of your computer.

The box navigation pane lets you navigate through all available boxes. If you wish to select a box, simply click on it and the file browser pane is updated to show its contents.

A little ‘+’ in the node of a box in the box navigation pane indicates that the box contains sub-boxes and/or folders. If you wish to navigate/browse through them, click the ‘+’ icon to expand a complete list of all available items.

This feature provides an overview of basic information about a box.

  1. in the box navigation pane, select the box of which you would like to view the properties
  2. Right-mouse click the box label to open the box’s context menu and select the ‘Manage Box'/'Administer Box'/'Box Settings’ item.
  3. In the box management dialog select the 'Properties' tab.

The properties overview is organised in two columns. The left column provides:

  • General information about the box, including its name, alias and type.
  • Box storage information, including the number of files, the total size of the files and the (compressed) space these files occupy on the server.
  • Server information that shows whith which provider your box and all its contents is stored.
  • (depending on box type and existence of clients) information about clients, including the number of associated client boxes, their combined number of files, the total size of these files and the (compressed) space these files occupy on the server.

The right column lists the email addresses/names of the

  • Box owner
  • Invited users (of both roles, general and admin)
  • (depending on box type and existence of clients) client users.

Manage Boxes

Create box

This operation creates an empty box and adds it to the box navigation pane.

  1. Go to the main menu and open the ‘File’ menu. Then select the ‘Create Lockbox’ item.
  2. Enter the box name and click the ‘Proceed’ button.
  3. A new box is created and a new entry is added to the box navigation pane on the left side of the Lockbox client.

You can create multiple boxes with the same name. This is possible because every box receives a unique identifier internally and, therefore, Lockbox is able to distinguish them unambiguously.

The person who created a box, is also called the box owner.

Alternatively, you can right-mouse click the 'Lockboxes' root node in the box navigation pane and select 'Create Lockbox' from the popup context menu.

This operation renames a box. It changes the label of a box that is displayed in the user’s box navigation pane, if no alias is set.

  1. In the box navigation pane, select the box whose name you would like to change.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Rename Box’ item.
  3. Enter the new box name and press the ‘Change’ button.

The box name can only be changed by the box owner.

Only the name of a standard box can be changed. The name of client boxes and shared client boxes are fixed once they are created.

The renaming of the box results in an instantaneous change of the displayed box name for all users in the box, unless they have set a local box alias. In this case the user does not notice the change.

When a box is shared with other users, it is sometimes useful to display a different name to the invited users. This way you can for example stick to your preferred naming scheme in your box but in the same time comply with corporate naming conventions.

  1. In the box navigation pane, select the box whose alias you would like to change.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Change Box Alias’ item.
  3. Enter the new box alias and press the ‘Change’ button.

Changes to the box alias are only visible to the user who performed the changes. Hence, the box owner as well as the invited users of the box can personalise the displayed name of a box independently by setting own aliases.

The box alias can be set for all boxes and independent from the user role.

Delete box

This operations deletes a box including all contents and contained shared client boxes and client boxes, if any.

  1. In the box navigation pane, select the box you would like to delete.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Delete box’ item.
  3. Select the ‘Delete’ button in the confirmation dialog.

Deleted boxes can be restored for a short amount of time of about 7 calendar days only. Hence, you need to be certain whether you want to delete a box.

After a box has been deleted, there is a grace period of 7 calendar days in which the box and all its contents and sub boxes can be restored.

  1. Go to the main menu and open the ‘File’ menu. Then select the ‘Undelete Box’ item.
  2. A new window pops up in which you can select the boxes you would like to recover. Tick the corresponding checkbox and then click the ‘Restore’ button.
  3. The previously deleted box is recovered and a its entry is added back to the box navigation pane.

Box Restoration is focused on restoring data. It does not restore the invited users and clients of the box who are not able to access the box until they are manually re-invited.

Restoring a box will bring back all contents of the box including files and folders in all sub boxes such as client boxes and shared client boxes.

Alternatively, you can right-mouse click the 'Lockboxes' root node in the box navigation pane and select 'Undelete Box' from the popup context menu.

Box ownership can be transferred from a box owner to an invited user, for example because a colleague leaves the company or moves to another post. To change ownership, perform the following steps.

  1. In the box navigation pane, select the box of which you would like to change ownership.
  2. Right-mouse click the box icon to open the box’s context menu and select the ‘Manage Box’ item.
  3. Select the 'Users' tab and then select the 'Change Owner' Section.
  4. Select the future owner of the box by writing or clicking in the combo box and then press the 'Request Ownership Transfer' button.
  5. A request code is shown which needs to be copied and passed on to the future owner, e.g. via phone or SMS.
  6. As soon as the future owner has processed the request code, a message box will pop up and prompt you to confirm the ownership transfer. Ownership is transferred instantaneously as soon as you confirm.

Box ownership is only transferred if you confirm the ownership transfer as outlined in step 6. Until you have confirmed, you remain the sole owner of the box.

Only the current owner of a box is permitted to transfer box ownership.

Change of ownership only succeeds if the new owner has established contact with all other invited users of the box. If this is not the case, the new owner is prompted to make contact first (See 'Missing contacts warning' image to the right).
