Annotations and Read-only

Files and folders may be marked with an annotation or set to be read-only.

File/folder annotation

Sometimes it is useful to leave a note with a file or folder, e.g. to inform another user that a certain document has changed or that a final version of a document has been created.

A note can be viewed, edited and removed by all users who have read-write access to a file or folder.

A note is visualised with a red background in the icon of the annotated file or folder.

Place a note

You can add a note to a file or folder by

  1. In the file browser pane, select the file or folder to which you would like to add a note.
  2. Right-mouse click its icon to open the context menu and select the ‘Annotate…’ item.
  3. Enter your note in the input box and press the ‘Done’ button to save it.

After a note has been added, the icon of the file or folder shows a red background .

Edit a note

To edit a note, follow these steps:

  1. In the file browser pane, select the file or folder whose note you would like to edit.
  2. Right-mouse click its icon to open the context menu and select the ‘Annotate…’ item.
  3. Edit an existing note in the input box and press the ‘Done’ button to save your changes.

Delete a note

A note can be deleted by the following steps:

  1. In the file browser pane, select the file or folder whose note you would like to delete.
  2. Right-mouse click its icon to open the context menu and select the ‘Annotate…’ item.
  3. Click the 'Delete' button and then press the ‘Done’ button to save your changes.

After a note has been deleted, the icon of the file or folder reverts to its default background .

Set Read-only/Read-write Attribute

Set read-only/read-write attribute

By default, all files and folders in Lockbox are set to ‘read-write’. This means that every user with access to a box can

  • Upload
  • Download
  • Rename
  • Annotate
  • Delete the files and folders.

The box owner can change the default setting to ‘read-only’ in order to limit all users, including themselves, to only be able to download an item. This is a useful feature, for example when you

  • Want to make sure that you do not replace a file or folder accidentally
  • Do not want any other user to change a file or folder you have created.

To switch between 'read-write' and 'read-only' do the following:

  1. In the file browser pane, select the file or folder of which you would like to change the access status.
  2. Right-mouse click its icon to open the context menu and select the ‘Mark read-only’ or ‘Mark read-write’ depending on what you would like to switch on.
  3. Press the ‘Confirm’ button in the confirmation dialog.

Only the box owner can set the read-only/read-write attribute.  It can be set for every file or folder individually. If set for a folder, the setting applies recursively for all its subfolders and files.

Read-only refers solely to files and folders in a box. It does not stop a user from downloading and editing files on their local computer.

A read-only file or folder is visualised with the icon.
